Booking & Payments

Payment is required at the time of booking to secure your appointment.

Appointments can be booked online or in clinic following treatment. We accept all major debit/credit cards and contactless payments.

Any appointment that remains unpaid may be released and cancelled.
Appointments, Cancellations & Lateness
-
We require a minimum of 24 hours’ notice to cancel or reschedule an appointment. This allows us the opportunity to offer the appointment time to another patient.

Appointments cancelled with less than 24 hours’ notice will incur a 50% cancellation fee, which will be deducted from the advance payment.

Failure to attend an appointment (DNA) will result in the full appointment fee being charged.

If you arrive late, your appointment will still finish at the scheduled time to avoid delaying other patients. If you arrive too late for a safe assessment/ treatment be carried out, the appointment may need to be rescheduled and 50% late-arrival fee will be retained to cover the lost clinical time.

We understand that genuine emergencies can occur, and exceptional circumstances will always be considered at our discretion.

If we need to cancel your appointment, you will be offered a full refund or the option to reschedule.
Orthoses, Products & Refunds

Full payment is required prior to ordering custom orthoses.

As orthoses are custom-made medical devices, they are non-refundable once ordered or dispensed.

A short adaptation period is normal. Minor adjustments following fitting may be provided where clinically appropriate.

Significant prescription changes, remakes, or additional modifications may require further appointments and additional fees.

Clinical services are non-refundable once provided, as fees reflect professional time, clinical expertise, and materials used.
Clinical Safety & Patient Responsibilities

Patients under 18 must be accompanied by a parent or legal guardian. Treatment cannot proceed without an adult present, and the appointment may be treated as a late cancellation.

Patients must provide full and accurate medical information, including current medications and relevant health conditions.

If treatment cannot proceed safely due to incomplete or inaccurate information, the appointment will be chargeable as clinical time has been allocated.
Treatment & Outcomes

All treatment plans are based on individual clinical assessment.

Outcomes for musculoskeletal conditions vary depending on diagnosis, severity, general health, and adherence to treatment and rehabilitation advice.

While BP Podiatry follows evidence-based best practice, specific outcomes cannot be guaranteed.

Referral to a GP or other healthcare professional may be recommended where clinically appropriate. BP Podiatry is not responsible for any associated external costs or waiting times.
Conduct

We operate a zero-tolerance policy towards abusive, aggressive, or inappropriate behaviour.
-
To ensure a safe environment for staff and patients, treatment will be terminated immediately if such behaviour occurs.

In such circumstances, the full appointment fee will be charged, and the patient may be discharged from the practice.
Private Medical Insurance

BP Podiatry does not liaise directly with private medical insurers.

All fees are payable in full by the patient at the time of booking in accordance with our booking policy.

Receipts including professional registration details can be provided upon request. Patients are responsible for confirming reimbursement eligibility with their insurer prior to booking.
Data Protection

Patient information is stored securely and handled in accordance with UK data protection legislation.

These Terms & Conditions may be updated from time to time. The most current version will always be available on our website.

By booking or attending an appointment, you confirm that you have read, understood, and accepted these Terms & Conditions.

Photography & Video
With your consent, photographs or videos may be taken for clinical purposes such as gait or postural assessment. These are stored securely within your medical record.
Marketing & Social Media Images
BP Podiatry may occasionally request permission to use photographs or videos for marketing or educational purposes (e.g. website or social media).

Marketing images are only used with separate, explicit consent.

Consent is optional and not required to receive treatment.

Declining consent will not affect your care.

Consent may be withdrawn at any time by contacting BP Podiatry.
Sharing Information
Relevant information may be shared with other healthcare professionals only when necessary to support your care, including:

Data Storage & Retention

Clinical records are retained for 8 years after your last appointment, or until age 25 for minors.

Financial records are retained for 6 years in line with HMRC requirements.
